Privacy Policy

This privacy policy explains which data we process when you use the growth calculation, why we do so, how long we keep it and what rights you have. Because the platform contains children’s data, we handle it with extra care.

1. Who are we?

This website and the growth calculation are provided by [company name], located at [address], [postcode] [city], the Netherlands, registered with the Dutch Chamber of Commerce under number [Chamber of Commerce number].

Questions about privacy? Contact us.

2. Who is responsible for which data?

Several parties work together on the platform. Who is responsible depends on the type of data:

  • Account data of coaches, administrators and parents: we are responsible for this.
  • Children’s data and their measurements: these are entered by a club, organisation or independent coach. That party is responsible for this data (the controller). We process it on their behalf, as a processor. We conclude a data processing agreement with clubs and organisations for this purpose.

If you are a parent with a question about your child’s data, please contact the club, organisation or coach who entered your child in the first instance. You can also contact us; we will then make sure your question reaches the right party.

3. What data do we process?

From users with an account

  • Name and email address
  • Password (stored encrypted)
  • Role: coach, administrator of a club or organisation, or parent
  • The organisation and teams you are linked to
  • Data about your subscription and payments: [invoice details, payment status]. Payment details such as bank account or credit card are processed by our payment provider [name], not by us.
  • Technical data: login times and IP address, for security

From clubs and organisations

  • Name of the organisation, type of organisation and contact details
  • Teams, team codes and the coaches linked to the organisation
  • Invitations sent to coaches (email address and status)

From children and young people

  • First name and surname
  • Date of birth
  • Sex (needed for the calculation)
  • Team
  • Measurements: measurement date, height, sitting height and weight
  • The calculated outcomes: distance to the peak of the growth spurt, estimated age and date of the peak, biological age and growth period (P1, P2 or P3)
  • Whether consent from a parent or carer has been recorded, and by whom

Height, weight and the growth phase derived from them say something about a child’s physical development. We therefore treat this data as sensitive data and give it extra protection.

We do not process any other data about children’s health, such as injuries or medical information. Please do not enter this in the free text fields either.

4. What do we use the data for?

  • Calculating and showing the growth phase, so that coaches can adjust training to a child’s development.
  • Managing accounts, organisations and teams, including sending invitations and team codes.
  • Access for parents: a parent with their own account can view their own child’s data.
  • Handling subscriptions and payments.
  • Contacting users about their account, the subscription or important changes to the service.
  • Security of the platform and preventing misuse.

We do not use the data for advertising, do not sell it and do not share it with parties other than those listed below. We may use anonymised data that cannot be traced back to individuals to improve the service. [Remove this sentence if this does not happen.]

5. On what legal basis?

  • Performance of the contract: for your account, the subscription and payments.
  • Consent: for entering and calculating a child’s data. For children under 16, consent from a parent or carer is required. The club, organisation or coach who enters the child must ask for and record that consent in advance.
  • Legal obligation: for keeping invoices and payment records.
  • Legitimate interest: for the security of the platform.

Consent can be withdrawn at any time. The child’s data will then be deleted.

6. Who can see a child’s data?

  • Coaches only see the children in the teams they are linked to.
  • Administrators of a club or organisation see the teams and children within their own organisation.
  • Parents and carers with a linked account only see their own child’s data.
  • Staff of [company name] only have access when this is needed for support or technical management.

Other users, organisations and visitors to the website cannot see the data.

7. Who do we share data with?

We use a limited number of service providers. We have made agreements with them about security and confidentiality.

  • Hosting: [name of hosting provider], servers in [country, preferably within the EU]
  • Payments: [name of payment provider]
  • Email: [name of service for sending email, e.g. invitations and password resets]
  • Backups: [name of service or “at the hosting provider”]

Data is not stored outside the European Economic Area. [Adjust if a service provider is located outside the EEA, and state which safeguards are in place.]

8. How long do we keep data?

  • Children’s data and measurements: as long as the child is in a team. If the coach or administrator removes the child, the data and all measurements are deleted immediately.
  • Children without a new measurement: after [2 years] without a new measurement, the data is deleted automatically. [Adjust or remove if this is not built in.]
  • Accounts: as long as the account is active. After cancellation, we delete the account within [30 days].
  • Organisations: after the subscription ends, we keep the data for another [90 days] so that the organisation can export it. After that, we delete everything.
  • Invoices and payment records: 7 years, because of the statutory tax retention obligation.
  • Backups: are overwritten after [30 days].

9. How do we protect the data?

  • The website uses a secure connection (https).
  • Passwords are stored encrypted.
  • Users only see the data their role entitles them to.
  • We make regular backups and keep the software up to date.
  • [Optional: two-factor authentication for administrators.]

If we discover a data breach, we report it as required by law to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) and, where necessary, to the organisations and users concerned.

10. Cookies

We only use functional cookies that are needed to log in and stay logged in. These cookies disappear after logging out or after [number of days]. We do not use tracking or advertising cookies. [Adjust if statistics are collected, for example with a privacy-friendly configured analytics service.]

11. Your rights

You have the right to:

  • access your data;
  • have incorrect data corrected;
  • have your data deleted;
  • have the processing restricted;
  • object to the processing;
  • receive your data in a commonly used file format;
  • withdraw your consent.

Parents and carers can exercise these rights on behalf of their child up to the age of 16. You can view and change much of the data yourself via your account.

If you do not agree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority. We would prefer to hear from you first, so that we can look for a solution together.

12. Changes

We may update this privacy policy when the service changes. The most recent version is always available on this page. In the case of important changes, we will inform users by email.
